# Introduction

There are often occasions where a client may have more than one appointment on the same day. To avoid the potential confusion of sending multiple reminders, we offer the ability to group these appointments together in the same reminder.

The following guide will help show you how to incorporate the *Grouping* feature into your Voice Messages.

> ℹ️ If you would like to use *Grouping *but are currently sending only the first appointment of the day for each patient, you will need to contact Inphonite Support to update your import settings.

# Rule Settings

To make use of *Grouping*, you first need to enable the feature in your message *Rule*. Your rule can be found by navigating to the *Rules Engine *using either of the links on the front page.

The settings for Message Grouping can be found in the *Notification Plan* section of each *Rule*. As shown below, there are 3 options available when you click on this setting. Please select based on your needs and as per the descriptions below (Don’t forget to Save your work):

| **Settings** |  |
| --- | --- |
| Appointment Grouping | This will group same day appointments for an individual contact.<br>One reminder will be sent with the details of each appointment.<br>An example of this is: “John has an appointment on Tuesday May 12th with Dr. Smith at 12 PM and with Dr. Jones at 1 PM at St. Mary’s east side location”. |
| Contact Grouping | This will group same day appointments for contacts with matching contact information.<br>This is usually used for clients from the same household; one (sometimes very long) message will be sent and will include the details of each appointment on the same day.<br>An example might be: “Beth has an appointment on Tuesday, May 12th at 12 PM and Timmy has an appointment on Tuesday, May 12th at 1 PM” |
| None | This is the standard setting, with *Grouping *disabled.<br>This is the default setting and means that a separate reminder will be sent for each appointment. |

# Message Settings

After you have enabled grouping in your Rules based on the above, you will want to edit your actual messages.  We are going to use the *Appointment Details* tool in the *Voice Designer *to do this.

## Navigate to the Voice Designer

You can get to the *Voice Designer *by using either of the links on the front page. Then you can select the Voice Message you would like to edit by clicking on the Message Name.

## Using Appointment Details Tool

The *Appointment Details *tool can be found in the dropdown, after clicking the plus icon in the Designer*.*
