After reviewing this article, you should have a clear understanding of how to create, modify, or delete an appointment right from within the Inphonite software. # Appointment breakdown > ❌ Before you get started, please keep in mind that the primary way the contact information and appointment information is added through a method called importing. The process of importing is done generally with a flat file. If there are changes to contacts or changes to the appointments, the best way to ensure this information is properly updated is to make sure the data is correct in your software first, then if there are issues, please contact [support@inphonite.com](mailto:support@inphonite.com). > 📝 If changes are made to contacts or appointments, it is possible the changes will be removed and/or overwritten when your next data pull happens. > ⚠️ For each person who receives a notification, there is a contact. For each recurring notification, we create an appointment. Contacts will display all of the individuals who *could* receive a notification with information like their name, phone number, date of birth, etc. Appointments display information like appointment type, provider, and location. Additional appointment information is also available by visiting the Appointments List or Schedule View. Lastly, there is a **[Do Not Contact List](https://inphonite.atlassian.net/wiki/spaces/KBPUB/pages/93126810)** for contacts who would prefer to **opt out** of notifications. # How to access appointments There are two main ways to access appointments: via contacts or via the schedule. Contacts are organized alphabetically and can be searched. When a contact’s page is displayed, all their appointments will be listed at the bottom. The schedule is displayed in two views, but they both organize all of the appointments in your account chronologically. ## a. You can toggle the chart to the alternate view with the toggle switch at the top right by clicking “Timeline”. ![image](media://d7f1e8f7-390d-4084-8b12-ac86546e507e) The Timeline Schedule View separates the day’s appointments based on the selected filter to the left of the view. > ⚠️ For more information on schedule view check out our article below. > ⚠️ > ⚠️ [https://inphonite.atlassian.net/wiki/spaces/KBPUB/pages/1147273217](https://inphonite.atlassian.net/wiki/spaces/KBPUB/pages/1147273217) Both views work almost identically in terms of creating and deleting an appointment. Double-clicking any appointment block in these views will pop up the appointment fields for editing. # Editing an Appointment ## Edit Pop-Up Clicking on an appointment link or double-clicking an appointment instance will display the *“Edit Appointment”* pop-up. ![image](media://2c403fcf-c5d9-4dff-9cb8-adab0b810c81) > ✅ Once the fields are updated, click the *OK* button at the bottom to close this pop-up and update the appointment. ![image](media://cb200006-ae6e-4037-a4b8-4bf34c9a12b4) > ⚠️ Be sure that the green notification appears to confirm that your changes are saved. ## Appointment Details | **Appointment Fields** | | --- | | Provider | | Subject | | Location | | Start Time | | End Time | | State | | Result | | Custom Fields | | Notes | ## Editing Appointment Blocks from the Schedule View ![image](media://b7e3cdf5-b325-4ea9-a122-f22cb88b5657) Appointment blocks have horizontal lines at the top and bottom that indicate the block can be resized to adjust its time. Simply click and drag the edges to the desired time limits. # Creating an Appointment ## Create An Appointment Via Contacts ![image](media://601ad198-eec2-40f4-baa1-ec82138fd3bc) Add an appointment time.
