# Introduction

To ensure you can get reports containing only the information you need, we have multiple filters available for you to apply. By making the most of our pre-defined report templates and customizable filter expressions, you can save time when checking for appointment confirmations and cancellations.

# Filter or Filter Expression?

Most report types have a dropdown available for one simple *Filter*. This gives you a quick way to show only appointments where the value under the selected heading is equal to the specified value (see the example for cancelled appointments above).

The *Filter Expression* text box allows you to be more detailed in which information you would like to display. Filter Expressions are explained in more detail below.

## Using Filters 

> 📝 Information related to appointments and contacts will be stored under particular fields depending on how your import is set up. Reference these when filtering your results.

> 📝 If you are unsure of what information is available, you can view your *appointments details.*

If the *Filter* dropdown is available for the report chosen, that menu will display each of the 10 Appointment Fields, the 10 Contact Custom Fields as well as the Status, Group, and Provider fields available. 

Once the filter is selected, the search option will allow you to choose the specific value contained within that filtered field. 

First, go to reports and then use the Filter field to select the data to be filtered.

### Filter choices 

| **Name** | **Description** |
| --- | --- |
| Group | Name of contact group defined by user |
| Provider | Provider name defined by user in the Manage Providers section |
| Status | The state of the appointment reminder, a glossary of possible statuses is available [here.](https://support.inphonite.com/space/KBPUB/4554753/Glossary+of+Report+Statuses) |
| Appt CF1: Provider Code | Appointment Custom Field 1<br>The code for the provider as defined by your EHR |
| Appt CF2: Location Code | Appointment Custom Field 2<br>The code for the Location of the appointment as defined by your EHR |
| Appt CF3: Reason Code | Appointment Custom Field 3<br>The code for the subject or type of appointment as defined by your EHR |
| Appt CF4 thru 10 | Appointment Custom Fields 4 thru 10<br>These fields will contain different values relating to each specific appointment, depending on how your data and import was set up. |
| Contact CF1 thru 10 | Contact Custom Fields 4 thru 10<br>These fields will contain different values relating to each specific Contact, depending on how your data and import was set up. |

Once the field has been selected, click the magnifying glass, which will show all data imported for that field. Select the required value.

> 📝 ***NOTE:**** Appointment Custom Fields 1, 2, and 3 are defaulted to *<u>*Provider Code*</u>*, *<u>*Location Code*</u>*, and *<u>*Reason Code*</u>*. If the *<u>*Status*</u>* filter is selected, each status will need to be typed in manually.*

## Using Filter Expressions

> ℹ️ **FOR ADVANCED USERS:**** **Filter Expressions require specific syntax in order to function, the examples below show how your expressions should look. Take note of the parentheses, double quotes and operators used; as well as the use of capital letters.

For a more targeted report, you can customize your filters further by typing multiple filter expressions into the text box. Below are a few examples of common statements, which can also be mixed and matched with "AND/OR", for example:

### Filter Expression Examples

The table below shows some examples of possible filter expressions you could type in and what results they would give. The word VALUE is used to represent whichever term, value, or variable you choose to search.

| **Filter Expression** | **Description** |
| --- | --- |
| (AppointmentCustomField# = "VALUE") | Show a report with all results where the specified Appointment Custom Field **is** “VALUE” |
| (AppointmentCustomField# <>"VALUE") | Show a report with all appts where the specified Appointment Custom Field **is not** “VALUE” |
| (ContactCustomField# = "VALUE") | Show a report with all results where the specified Contact Custom Field **is **“VALUE” |
| (ContactCustomField# <> "VALUE") | Show a report with all results where the specified Contact Custom Field **is not** “VALUE” |
| (RuleName = "VALUE-1") OR (RuleName = "VALUE-2") | Show a report with only results where the Rule Name **is **either “VALUE-1” **or **“VALUE-2” |
| StartDate > DateTime.Parse("MM/dd/yyyy h:mm tt")<br>e.g.  StartDate > DateTime.Parse("10/14/2021 2:30 pm") | Show only the appointments later than a specific Date and Time. The dates and times need to be the [UTC Time Zone](https://en.wikipedia.org/wiki/List_of_UTC_time_offsets) |
| StartDate < DateTime.Parse("MM/dd/yyyy h:mm tt") | Show only the appointments earlier than a specific Date and Time. The dates and times need to be the [UTC Time Zone](https://en.wikipedia.org/wiki/List_of_UTC_time_offsets) |
